Scan to email stopped working
Why scan-to-email breaks, what you can check at the machine, and the workarounds that keep you moving while we fix it.

Scan to email works by having the copier send a message on its own behalf. That means it holds credentials and a mail configuration, and those are the parts that break — usually after a password change or a security update on the mail side.
What is actually happening
The scanner is a mail client. It signs in somewhere and sends. So the common failures are:
- The password it stored has changed — the single most frequent cause.
- The mail service tightened its requirements and the copier’s older method is no longer accepted.
- The address book entry is wrong or the recipient’s domain rejects it.
- The copier lost its network connection.
The first two are ours to fix and are not something you can resolve at the panel. But it is worth ruling out the simple things first.
Check at the machine
- Is there an error on the display? Note the exact wording — authentication failed, SMTP error, server unreachable, or a numeric code. That text tells us immediately which of the causes above it is.
- Does it copy normally? If copying works, the hardware and scanner glass are fine and it is purely a sending problem.
- Does scanning to a folder or USB work? Same logic — narrows it to email.
- Try a different recipient, ideally a colleague inside the company. If internal works and external fails, that is a different fix to nothing working at all.
- Try typing the address manually rather than using the address book entry. Stored entries go stale when people leave or change name.
Check the basics of the document
Occasionally it is not the system at all:
- File too large. A 60-page colour scan at maximum quality can exceed the size limit. Reduce the resolution to 200 or 300 dpi, choose black and white for text documents, and split very long documents. Most rejections we see are size-related.
- Wrong address. Read it back character by character.
.coinstead of.comis the classic. - Recipient’s filtering held it. External organisations sometimes quarantine mail from scanners because it looks automated. Ask them to check junk and quarantine.
Workarounds while it is broken
You do not have to wait:
- Scan to a network folder if that is configured — often more reliable than email, and worth asking us to set up permanently.
- Scan to USB and move the file across.
- Use your phone. The Microsoft Lens app, or the built-in scan feature in the Notes app on iPhone, produces a genuinely good PDF from a photo. For a few pages this is often faster than the copier.
- Scan to your own address and forward if internal sending still works.
What we need from you
- The copier’s location or name.
- The exact error on the display.
- Whether it happens for everyone or just you.
- Whether it fails for all recipients or only external ones.
- Roughly when it last worked.
That last one matters more than it sounds. “It worked Friday and not Monday” points straight at a weekend change; “it has been flaky for a month” is a different investigation.
Worth knowing
Scan-to-email credentials break when a password changes. If the copier was set up under a specific person’s account and that person changes their password, scanning stops. We generally move these to a dedicated account precisely to avoid that — if yours is still tied to an individual, it is worth asking us to change it.
Attachments from copiers are sometimes flagged. Large PDFs from an unfamiliar sender look suspicious to filtering systems. If a client says they never received a scan, that is often where it went.
Scanned documents are rarely searchable unless OCR is enabled. If you regularly need to search scanned text, ask us — most machines can do it and it is often just switched off.
