Printer shows offline, or jobs are stuck in the queue

Clear a stuck print queue, bring an offline printer back, and stop the same jobs jamming things up tomorrow.

Printer offline almost never means the printer is broken. It means Windows tried to reach it, failed once, and gave up. The printer is usually sitting there perfectly happy.

Check the printer itself first

Thirty seconds, and it saves a lot of pointless clicking:

  • Is it powered on and past its startup screen?
  • Any error on the display? Paper jam, toner, tray open, an alert about maintenance.
  • Is there paper, and is the tray properly closed? A tray pushed almost-but-not-quite in reports as out of paper.
  • If it is network-connected, is the cable plugged in? Look for a green light at the network port.
  • Are covers and doors closed? One left ajar after a toner change stops everything.

Clear the stuck queue

One failed job blocks everything behind it, and that is the most common cause of “nothing prints”.

  1. Press the Windows key, type Printers, and open Printers & scanners.
  2. Click your printer, then Open print queue.
  3. Look at the list. Cancel everything — right-click each job and choose Cancel, or use Printer › Cancel All Documents.
  4. Wait for the list to empty. Jobs sometimes sit in Deleting for a minute.
  5. Print a single test page.

If jobs refuse to cancel — stuck in Deleting or Error and immovable — the print spooler needs restarting:

  1. Press the Windows key, type Services, and open it.
  2. Scroll to Print Spooler.
  3. Right-click it and choose Restart.
  4. Go back to the queue; it should now be empty.

If restarting the spooler does not clear it, restart the computer. That achieves the same thing more thoroughly.

Take the printer out of offline mode

  1. Printers & scanners › your printer › Open print queue.
  2. Click the Printer menu.
  3. Untick Use Printer Offline if it is ticked.
  4. Also untick Pause Printing.

Both get switched on accidentally, and both produce exactly this symptom.

If Use Printer Offline is greyed out or immediately re-ticks itself, Windows genuinely cannot reach the printer — continue below.

The printer is genuinely unreachable

  1. Restart the printer. Power it off, wait 30 seconds, power it on, and give it two full minutes to come back. Network printers take longer than you expect.
  2. Restart your computer.
  3. Check whether colleagues can print. If everyone is affected, it is the printer or the network, and calling us is faster than each person troubleshooting separately.
  4. Print the printer’s own configuration page from its front panel — usually under Reports or Information. If it prints, the hardware and toner are fine and the problem is purely the connection.
  5. Check whether you are on the right network. A laptop on the guest Wi-Fi cannot see office printers by design. This is a very common cause when it only affects one person, especially after they have been working from home.

Removing and re-adding the printer

If everything above fails on one computer while others print fine:

  1. Printers & scanners, click the printer, choose Remove.
  2. Restart the computer.
  3. Click Add device and wait for it to appear.
  4. If it does not appear, click Add manually — and at this point, call us, because the correct address and driver matter and getting it wrong causes stranger problems than the one you started with.

Preventing repeats

  • Do not resubmit repeatedly. If nothing comes out, resending five more copies just builds a queue that jams things for everyone. Clear the queue first.
  • Report toner early. Low means order one; empty means nobody prints.
  • Tell us about paper jams that keep recurring in the same spot — that is a maintenance issue, not bad luck.
  • Print to PDF for your own reference copies. Faster, and it saves consumables.

When to call rather than persevere

  • Everyone in the office is affected.
  • The printer shows a hardware error code on its display.
  • There is a jam you cannot reach or clear safely.
  • The same printer goes offline every morning — that pattern usually means an addressing problem we should fix properly.
